Privacy Policy

This policy explains how CRIT-RATE Bot Administration handles information when CRIT-RATE is used in its authorized private Discord server.

1. Who we are

CRIT-RATE is a private Discord utility operated by CRIT-RATE Bot Administration in Kentucky, United States. Questions or requests may be sent to critratebot@gmail.com.

2. Information we process

Depending on the feature used, CRIT-RATE may process:

  • Discord account information, including user IDs, usernames, display names, avatars, server membership, roles, and permissions.
  • User-submitted content, including review text, ratings, service details, inactivity dates and reasons, extension requests, and other form responses.
  • Community administration records, including activity logs, contribution hours, quota status, staff roster entries, warnings, review history, approval decisions, and the Discord IDs of staff members who take administrative actions.
  • Discord message, channel, guild, and interaction identifiers needed to display, update, moderate, or audit bot records.

CRIT-RATE does not request passwords, payment-card details, or game-account credentials. Members should never submit sensitive personal information through the bot.

3. How we use information

Information is used only to operate and administer the authorized community: processing reviews and vouches, maintaining activity totals, applying quotas, managing staff records and inactivity requests, delivering notifications, preventing misuse, troubleshooting, and keeping an administrative audit trail.

4. Legal basis and consent

We process information as necessary to provide the bot’s requested community functions and for the legitimate interests of safely administering the server. When a member voluntarily submits a form or command, they direct the bot to process that submission. Use of Discord is also subject to Discord’s own privacy terms.

5. Sharing

Records may be visible to the member involved, authorized community staff, and other server members when a feature is designed to publish information, such as a review. Information is also processed through Discord and the bot’s hosting provider as technically necessary. We do not sell personal information, rent it, or use it for third-party advertising.

6. Storage and retention

Bot records are stored in files maintained for CRIT-RATE’s operation and may persist while they remain useful for community administration, safety, dispute handling, or recordkeeping. Some records may be removed earlier by authorized staff. Backups may retain information for a limited additional period until overwritten or deleted.

7. Security

We use reasonable access controls and restrict sensitive commands and records to authorized roles. No system is perfectly secure, and we cannot guarantee absolute security. Users should avoid submitting confidential, financial, medical, or account-login information.

8. Your choices and requests

You may ask to access, correct, or delete information associated with your Discord account by emailing critratebot@gmail.com. Include your Discord user ID and enough detail to identify the relevant record. We may need to verify your identity. A request may be limited where retention is reasonably necessary for moderation, safety, dispute resolution, legal compliance, or the rights of others.

9. Children’s privacy

CRIT-RATE is not directed to children under 13 and should not be used by anyone below Discord’s minimum permitted age in their country. If we learn that prohibited child data was collected, contact us so it can be reviewed and removed.

10. Changes

We may update this policy as the bot or its practices change. The effective date above will be revised when material changes are made. Continued use after an update means the current policy applies.
